Scheduling Reports in ChiroTouch Report Manager

For most chiropractic practice owners and office managers, the end of each week or month brings a familiar scramble: pulling aging reports, reconciling payor receivables, and confirming that every charge was actually batched and sent. ChiroTouch's Report Manager was designed to take that scramble out of the equation. Rather than manually running the same set of financial reports every Friday afternoon, you can configure the Report Manager to generate and deliver them on a fixed schedule, so the data lands in a designated folder before you even sit down to review it. This is especially helpful in multi-provider offices where each doctor expects a clean, current snapshot of their own production and collection numbers without having to dig through the Front Desk queue.

The scheduling workflow lives inside the Report Manager application, which contains every report available in the Front Desk module plus additional reports that are exclusive to that interface. When you open a report—say, Aged Patient Receivables or Insurance Collections by Procedure Code—you will see a "Schedule this Report…" option in the right-hand column. Clicking it opens a dialog where you can either create a brand-new schedule or add the report to an existing one. You set a frequency, choose an output format (Excel, Excel & PDF, or PDF), name the file, and point it to a delivery folder. The default location is the Scheduled Reports folder within the application, but you can create subfolders to separate, for example, weekly AR summaries from monthly payor reconciliation files. One important detail for office managers: scheduling requires administrative privileges on the workstation where the Report Manager is running, so make sure the user account your front desk team uses has that level of access before you walk them through the setup.

Which reports deserve a recurring slot depends on your practice's billing cadence, but a few stand out from the ChiroTouch reports catalog. The Aged Payor Receivables report lists every insurance balance regardless of billing status and includes patient contact information, last payment date, and aging brackets—useful for catching claims that have slipped past your usual follow-up window. The Insurance Collections report breaks down claims billed versus claims paid by payor, giving you a collection percentage that is straightforward to compare month over month. The End-of-Day Summary Report rolls up payments, charges, and appointment counts for a given day, which pairs well with a daily or weekly schedule if you want a running log rather than a single month-end snapshot. For practices that track productivity by CPT code, the Collection Details by Procedure Codes report is organized by payment date, making it easy to see which codes are converting well and which are sitting in AR. Because each of these reports carries its own filter set, you can lock in the date-range logic or provider scope once and let the schedule handle the rest.

Once a schedule is active, the Report Manager's tabbed view becomes a natural workspace for reviewing the output. You can open several scheduled reports side by side, use the annotation tool to mark up a PDF before forwarding it to a doctor or a billing partner, and keep a "My Favorites" list so the reports you check most often are one click away on the Start Page. If you add a new report to an existing schedule, the filters you set for that report are saved independently, so changing the date range on your Aged Patient Receivables schedule will not alter the scope of your Insurance Collections schedule. And if a report stops being relevant—perhaps you consolidate two payor reports after a payer change—you can simply clear the Active checkbox on that schedule and save, deactivating it without deleting the configuration.

For ChiroTouch support staff, the scheduling feature is a common first-line topic when a practice says they are "drowning in manual reporting." Before escalating, it is worth confirming three things with the office manager: whether the workstation running Report Manager has admin rights, whether the delivery folder path is still valid after any server rename or drive-letter change, and whether the user is looking in the Scheduled Reports folder rather than the general application directory. If the practice is on the server-based version of ChiroTouch, also verify that the shared CTData directory is properly mapped on the workstation, since Report Manager pulls its report definitions from that shared location. Walking a new office manager through a single scheduled report—picking one high-value report like Aged Patient Receivables, setting a weekly frequency, and confirming the PDF lands in the expected folder—often turns a week of manual grinding into a five-minute Tuesday-morning review, and it gives the whole team a consistent baseline for comparing month-to-month performance.
