Getting Your ChiroTouch Scheduler Working the Way Your Practice Does

If your front desk is spending more time untangling the calendar than actually seeing patients through the door, the problem usually starts in the configuration layer. CT Scheduler in ChiroTouch is a desktop application that lets each provider at your practice build a schedule that matches their actual availability—office hours, break times, standard appointment length, and recurring events all live in one place. The key is that no two providers need to look the same. A doctor who sees patients eight to four with a half-hour lunch break can be configured independently from a colleague who works four days a week and blocks Tuesday afternoons for continuing education. You open CT Scheduler from the Launcher icon, log in, and the main screen gives you a color-coded work area broken into time increments alongside a calendar for navigating past and future dates. The Today button snaps you back to the current day, and the Details panel on the right shows patient pictures, account information, and appointment history for whichever slot you select.

Before you start booking a single appointment, take time in the Provider Schedule and Room Schedule sections to define what each treatment room can do and which providers are assigned to it. The Providers/Rooms panel on the main screen lists every provider and room in your office, and the Schedule Book buttons—there are eighteen of them under group tabs—let you save unique view configurations for quick recall. If you uncheck a provider or room from the display settings, that entry disappears from drop-down lists when scheduling appointments, creating schedule views, and checking patients in at the front desk. That means if a provider is on extended leave, you can hide them from the scheduling interface entirely so the front desk is not tempted to book them by accident, then re-enable the display option when they return. The same logic applies to a room that is temporarily out of service for renovation.

The Appointment Governor rules are where ChiroTouch's scheduler stops being a simple grid and starts enforcing your practice's operational logic. In the Calendar Setup window, accessed through the Providers module of the Maintenance application, you click and drag to select a time range, check the Enabled Appointment Governor box, and choose a rule from the drop-down menu. For example, you can require that spinal decompression sessions are only booked in rooms equipped with the appropriate table, or that new-patient comprehensive exams get a sixty-minute slot while routine adjustments take thirty. Checking the Apply this rule to each cell box extends the restriction across every slot in the selected range. The Advanced options let you clear specific checkboxes to disable a rule for particular applications or actions, and those settings apply globally across all providers at your practice. Getting these rules right the first time saves your front desk from having to mentally cross-reference who can do what in which room at which time.

Once the schedules and rules are in place, the Appointment Statistics Panel on the main screen becomes a quick operational dashboard. It counts scheduled appointments, walk-ins, cancellations, reschedules, check-ins, check-outs, missed and arrived patients, new versus existing patients, and flags any appointment where the patient has a balance due or the slot is a split-room arrangement. Small icons appear directly inside the color-coded appointment boxes in the work area, so a front desk agent glancing at a busy Wednesday afternoon can spot a balance-due patient or a split-room booking at a glance without opening the Details panel. Pair that visibility with the Contact Manager for tracking scheduled patient calls and the Appointment Requests button for reviewing bookings submitted through the Patient Self-Scheduler, and the CT Scheduler becomes less of a static grid and more of a living workflow tool. For multi-provider practices, taking an afternoon to walk through each provider's schedule, every room's configuration, and the full set of governor rules will pay for itself in fewer phone calls, fewer double-bookings, and a calmer front desk every single day.
