Where Your Practice Data Actually Lives
If your practice runs ChiroTouch on a local server, all of your operational data sits on one dedicated computer in one physical location. The system requirements are specific: a standalone Windows 11 machine, a Microsoft SQL Server instance, 6 to 12 GB of RAM depending on workstation count, and 20 to 50 GB of hard-drive space. That machine is the sole holder of your patient notes, treatment plans, appointment history, charge lists, insurance policies, fee schedules, and open patient balances. It is not distributed across a cloud, and it is not replicated to a second building automatically. The entire clinical and financial record of your practice depends on that one box staying powered, its disk not failing, and the room it sits in staying dry.
Think about what a loss event actually erases. A failed hard drive, a power surge that takes out the SQL Server instance, a water leak in the back office, or a hardware theft can remove decades of SOAP notes, referral information, multi-year billing histories, and payer configurations in a single afternoon. The ChiroTouch system requirements document lists "System backup: External hard drive and/or offsite backup" as a baseline expectation, and the disclaimer is unambiguous: you are responsible for backing up your data and verifying the integrity of your backups. That responsibility doesn't transfer to the software vendor, and it doesn't shrink because your practice is small or because you've had no incidents in the last three years.
The practical gap most practice owners and office managers face is this: an external hard drive plugged into the server at night is a copy, but it is still in the same building, on the same power circuit, and vulnerable to the same fire, flood, or theft as the original. A more resilient ChiroTouch backup strategy separates your data from the server physically and verifies it regularly. Offsite or remote replication means the copy survives a building-level event. Scheduled integrity checks confirm the backup actually restores, not just that a file was written. Keeping a current copy of your patient demographics, clinical notes, scheduling rules, insurance configurations, and open balances in a location independent of the server removes the single-point-of-failure risk that a local-only setup creates. You don't need to become an IT department, but you do need a backup plan that assumes the server will fail someday—and that when it does, your practice can reopen with its data intact rather than starting from a blank database.
