Running Audit Reports in ChiroTouch Maintenance: A Practical Guide for Your Team

ChiroTouch includes a System Auditing feature inside the Maintenance application that lets you select specific user actions to track and then generate reports on those actions. For a practice owner or office manager, this means you no longer have to rely on memory or informal conversations to answer questions like "Who opened that patient's chart on Tuesday?" or "Was a billing code changed after the initial visit?" You log in to ChiroTouch Maintenance, click System Auditing, and you will find a dialog box where you can choose which tasks to audit, set reporting options, and run the report when you need it. If your practice runs the EHR-enabled version of ChiroTouch, the system takes a broader approach: all actions are audited by default, and you do not have the option to narrow the selection. That built-in comprehensiveness can be reassuring when you are preparing for an internal review or simply want a fuller picture of daily record activity.

When you are ready to pull a report, click Reports in the sidebar and set the details that matter to your question. You can specify the date range, the doctor who performed the actions, the particular actions you want on the report, the patient whose record you are reviewing, and how you would like the results grouped. Once those parameters are in place, click Print to send the report directly to a printer, or click Preview to review it on screen first. If you need a copy for a binder, a shared drive, or a conversation with your billing vendor, the Preview screen includes an Export button that lets you save the report in a file format you can circulate. For office managers who handle recurring monthly compliance check-ins, this workflow turns what used to be a spreadsheet reconstruction into a few clicks inside ChiroTouch.

Audit trails serve a purpose beyond reacting to a problem. They create a transparent, chronological record of who accessed, viewed, modified, or deleted data within a patient's record, including when those actions occurred. In a multi-provider office, that level of detail supports day-to-day accountability: a front-desk coordinator can see whether a correction was made by the treating doctor or by a billing staff member, and a practice owner can spot patterns—such as repeated late edits to the same account—that might warrant a process conversation. The audit log also becomes a useful teaching tool during onboarding. When a new assistant joins the team, walking them through a sample audit report in ChiroTouch shows concretely that every action is tied to a named user and a timestamp, which reinforces the expectation that documentation should be entered accurately the first time rather than patched in later.

One setting worth reviewing with your IT contact or ChiroTouch support is the retention option. Under the Options tab in the System Auditing dialog, you can set the number of days to retain audit entries, which helps balance disk space and the length of history you want available for review. However, if your practice uses the certified version of ChiroTouch, that option is not available: audit entries cannot be removed, and the full history persists. For support staff and practice administrators, the practical takeaway is to treat the audit log as a permanent record. Before anyone makes a change to a patient's chart—whether correcting a typo in a SOAP note or adjusting a charge code—understand that the action will be captured, attributed, and timestamped. That awareness alone tends to reduce last-minute edits and keeps your documentation trail cleaner for any future payer inquiry, licensing-board question, or internal quality check.
