Understanding ChiroTouch's Export Tools and Patient File Transfers

Whether you need to generate a printed report for a referral partner, save a chart summary as a PDF for your records, or hand off a patient's file to a second location, ChiroTouch provides dedicated Print and Export controls on virtually every screen where information is displayed. The Print button appears throughout the application and triggers a Report Options dialog when additional parameters are needed, while the Export button lets you save the same information to a file. In areas where no standalone export icon is visible, selecting the Preview option on screen reveals an export button within the preview window, so the functionality is always reachable. Before you commit a report to paper or a file, take a moment to review the preview and confirm that patient contact details, dates, and clinical content are accurate—this small step prevents awkward follow-up calls and re-exports.

When you are ready to save a report to a file, ChiroTouch offers three output formats: Adobe Acrobat (PDF) for a fixed-layout document that preserves formatting, Microsoft Excel (XLS) when you need to sort or filter data in a spreadsheet, and Rich Text Format (RTF) for documents that will be further edited in a word processor. After choosing a format, you can direct the file to any folder on the server machine, open it immediately for a quick check, or attach it to an e-mail as a delivery shortcut. For office managers preparing a batch of referral packets or a monthly summary for the doctor, the Excel export is often the most efficient starting point because it allows you to reorganize columns, add custom headers, or feed the data into a practice newsletter template.

For practices that operate more than one ChiroTouch database—such as a main clinic and a satellite office, or a practice that has split its patient population across two servers—the Patient File Transfer feature in the Front Desk module provides a structured way to move a single patient's record from one database to another. The process bundles the patient's demographic information, patient notes, treatment notes, and associated media files (videos, photos, X-rays, and documents) into a folder on the ChiroTouch server machine. A ChiroTouch technical support representative must first enable the Patient File Transfer button and designate a local destination folder on the server; once that configuration is in place, the exporting office selects the patient, clicks the transfer button, chooses which categories to include, and receives a credential pair (a license ID and a password) that the receiving office will use to authenticate the import. It is important to note that this transfer does not carry over chart notes, diagnoses, charges, ledger entries, insurance information, or appointment history, so plan your handoff accordingly if the receiving practice needs billing continuity.

When preparing those files for a third-party import, consistent naming conventions—such as Firstname_Lastname_ChiroTouchID for each patient folder—help the receiving system map documents to the correct chart without manual re-sorting. For office managers and support staff coordinating the handoff, keeping a written checklist of which data categories were exported, which were intentionally left behind, and where the credential files are stored will save significant time during the cutover weekend and reduce the risk of a patient arriving at a new location with an incomplete record.
